PRIVACY POLICY

  • We receive, collect and store any information you provide us with via; email, the completion of membership forms, the completion of gym passes and by contacting us through our website contact form or through any other format you choose to contact us. Occasionally we may also ask you to complete questionnaires relating to our services, in order for us to undertake reviews, ensuring you are provided with continual high standards. We will only store your information when you have clearly disclosed consent for us to do so. This may be to keep in contact with you regarding updates or for health and safety reasons, relating to you signing up to a gym membership or training plan.

  • Should you choose to keep up to date with our services, for the purpose of marketing, promotions or updates, you can opt in via your specified method by informing us via email, or written consent within the forms you complete. We will only contact you via your specified methods. To keep you up to date we use a variety of methods, including; text, email, letters and phone calls. If you would like to: access, correct, amend or delete any personal information we hold about you or if you no longer want us to process your data you have the right to opt out by emailing us at: info@smrfitness.com or you may prefer to write to us at: SMR Fitness LTD, 5 Northampton Street, Birmingham, B18 6DU.

  • Should you choose to call or write to us, we endeavour to respond to your enquiry through the details you have provided, however personal information will not be stored, unless you have clearly provided consent.

  • There may be occasions where we are required to contact you to collect fees or monies owed.

  • When signing up to one of our memberships or training plans you will be asked for specific information, such as; name, D.O.B, address, telephone number, the name and address of your GP, whether you have any health issues, whether you are currently under review by your GP and the name and telephone number of at least one emergency contact. We request these details for health and safety reasons, to ensure the activities you undertake offer minimal risk. We will also ask you to provide us with information relating to your goals, in order for us to support you and help you reach your full potential. We also ask for various consents, which you must sign to declare whether you do or do not wish to provide consent. In addition we may take your photo for membership identification purposes. Membership forms must be updated at least every 12 months and each client has a responsibility to notify us immediately of any changes to the information you have provided. This information will only be shared with respective Trainers associated with your training.

  • Our website uses two types of cookies; Session (Transient) cookies: These cookies are erased when you close your browser, and do not collect information from your computer. They typically store information in the form of a session identification that does not personally identify the user.  Persistent (Permanent or Stored) cookies: These cookies are stored on your hard drive until they expire (i.e. they are based on a set expiration date) or until you delete them. These cookies are used to collect identifying information about the user, such as Web surfing behaviour or user preferences for a specific site.  You can find further information about cookies at www.aboutcookies.org

  • All SMR Fitness staff are made aware of this policy and must uphold confidentiality of both staff and clients and adhere to policies and procedures at all times. The Data Controller will keep up to date with legislation and report this back to staff. SMR Fitness is registered with ICO.  Any Freelance Trainers operating from SMR Fitness must also uphold confidentiality and adhere to the procedures of our policies.

  • We will not disclose your information to third parties, unless there is a legal reason for us to do so.

  • We will  keep records for 6 years from the end of the last company financial year they relate to, or longer if: they show a transaction that covers more than one of the company's accounting periods, unless they are no longer relevant.

  • All written information is stored within a locked filing system. Electronic information, such as training and nutrition plans and email addresses are stored on staff computers, which are securely locked with password systems, protected by anti-malware and only accessible by respective staff.

  • If you access third party sites through our website you should be mindful they have their own policies and you should take the time to read them.

  • Should you choose PT sessions from a Freelance Trainer, please be aware they will have their own policies and procedures. In order to access their services you must hold a valid gym membership with SMR Fitness.

  • Our services are only intended for use within the UK.

  • Our services are not intended for children under the age of 16 years old - General gym admission is at the discretion of Manager with prior parental consent.

  • We reserve the right to modify this privacy policy at any time, so please review it frequently. Changes and clarifications will take effect immediately.

  • In the event of data breach we will contact the relevant agencies and we aim to notify all persons affected at the earliest possible moment. If you become aware of a data breach, you must notify the Data Controller immediately.

  • We hold records of all transactions, however we do not store your banking information.

  • For the purpose of security, CCTV is in operation within the premises. Footage is retained for up to 30 days and is accessible by Management.
